Privacy Policy
Who we are
GigKeep is a recordkeeping and tax-organization tool operated by Miller Bookkeeping & Tax, a division of Emerald Executive Consulting LLC ("GigKeep," "we," "us"). This policy describes our privacy practices for the GigKeep web application. It does not cover other websites or services we may operate, which may have their own notices.
Information we collect
Information you provide directly
- Account information: email address and password (handled by our authentication provider, Supabase; we do not see or store your plaintext password).
- Profile and tax-planning information: name, home city/state/ZIP, filing status, dependents, business type, and similar details you enter under Profile & Tax Year.
- Financial records you enter or upload: income totals, platform fee amounts, expense amounts and categories, merchant names, business-purpose descriptions, and mileage/trip details.
- Documents and images: receipts, screenshots, bank or platform statements, and PDFs you upload to the document vault.
- Voice or typed entries: text (or transcribed speech) you submit through "Talk to Track."
- Community content: posts, replies, and reports you submit inside the member Community.
- Support and Tax Expert Chat messages: questions and messages you send to Miller Bookkeeping & Tax through the in-app chat or service-request forms.
- Beta feedback: ratings and written reviews, and whether you've given permission for us to use them publicly.
Information collected automatically
- Session data: a security token is stored in your browser's local storage so you stay signed in. We do not use third-party advertising cookies or cross-site trackers.
- Basic technical data: standard web request data (such as IP address and browser type) is processed transiently by our hosting provider (Netlify) for security and delivery purposes.
Payment information
Subscription payments are handled entirely by PayPal. GigKeep does not receive or store your card or bank account numbers. We receive limited subscription status information (such as plan and active/inactive status) from PayPal to manage your account access.
How we use your information
- To provide the GigKeep workspace: storing and organizing your income, expense, mileage, and document records.
- To generate planning estimates (tax set-aside targets, deduction-readiness scoring, the Schedule C support package export).
- To operate optional features you choose to use, such as Talk to Track, statement parsing, mileage GPS capture, and Community.
- To respond to messages you send through Tax Expert Chat or service requests.
- To manage your subscription, beta access, and account security.
- To maintain the security, integrity, and moderation of the Community area.
- To comply with legal obligations and enforce our Terms of Service.
We do not use your financial records or documents to train third-party AI models, and we do not sell your personal information.
Location data
If you use the GPS mileage feature, GigKeep requests your device's precise location at the start and end of a drive you choose to record, in order to calculate mileage for that trip. Location is only captured when you actively tap "Start drive" / "End drive" -- GigKeep does not track your location in the background or outside of that flow. The resulting coordinates are stored as part of your mileage log so the trip remains a defensible, contemporaneous record. You can always enter mileage manually instead of using GPS. Several states classify precise geolocation as sensitive personal information; see State privacy rights below for your options.
AI-assisted features
Talk to Track uses Anthropic's Claude API to help convert what you say or type into a structured draft record (income, expense, or mileage entry). The text you submit through Talk to Track is sent to Anthropic for that processing, consistent with Anthropic's own privacy and data-handling terms. Drafts are always shown to you for review before anything is saved -- GigKeep does not save AI-generated drafts automatically. Do not include Social Security numbers or full financial account numbers in Talk to Track entries or chat messages.
Automated parsing of uploaded PDF income statements (for example, an Uber or DoorDash annual report) is handled entirely on our own servers using local text-extraction and pattern-matching -- this feature does not send your statement to Anthropic or any other AI provider.
Who we share information with
We do not sell your personal information. We share information only as follows:
- Service providers who host and run GigKeep on our behalf: Supabase (database, authentication, and file storage), Netlify (application hosting), PayPal (subscription billing), and Anthropic (Talk to Track voice/text drafting only, as described above). Each processes data only as needed to provide their service to us.
- Miller Bookkeeping & Tax personnel, when you use Tax Expert Chat, submit a service request, or otherwise ask us to review your records.
- Other Community members, limited to the display name, topic, and content of anything you choose to post in the member Community. Do not post account numbers, full names, or other identifying details in Community posts.
- Legal and safety reasons: if required by law, subpoena, or legal process, or to protect the rights, property, or safety of GigKeep, our users, or others.
- Business transfers: if Miller Bookkeeping & Tax or GigKeep is involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction, subject to this policy or a successor policy with comparable protections.
Security
We use reasonable administrative, technical, and physical safeguards designed to protect your information, including encryption in transit (TLS), access controls on our backend, and reliance on infrastructure providers (Supabase, Netlify) that maintain their own security programs. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security. If we become aware of a breach affecting your personal information, we will notify you as required by applicable law.
Data retention
We retain your account and financial records for as long as your account is active, and for a reasonable period afterward to support tax-recordkeeping needs (generally consistent with the IRS's own recommended recordkeeping windows), to resolve disputes, and to comply with legal obligations. You may request deletion of your account and associated records at any time as described below, subject to information we are required to retain by law.
Your rights and choices
- Access and export: the Tax Package export lets you download your organized records at any time. You may also request a copy of your personal information by contacting us below.
- Correction: you can edit most records directly in the app, or contact us to correct account-level information.
- Deletion: you may request deletion of your account and personal information by contacting us below. We will honor the request except where we are required or permitted to retain information by law.
- Communications: you may opt out of non-essential emails at any time; we will still send essential service and security notices.
State privacy rights (California, and other states with similar laws)
If you live in California, Colorado, Connecticut, Virginia, Utah, or another state with a comprehensive consumer privacy law, you may have additional rights, including the right to know what personal information we collect, the right to correct or delete it, the right to obtain a portable copy, and the right to opt out of the sale or "sharing" of personal information and of targeted advertising.
We do not sell personal information and we do not share personal information for cross-context behavioral advertising. We do not use precise geolocation for any purpose other than calculating the mileage of a trip you chose to record. Because we do not engage in those practices, there is no sale/share opt-out to exercise -- but you may still submit an access, correction, or deletion request at any time using the contact information below. We will not discriminate against you for exercising these rights.
To verify your identity for a request, we may ask you to confirm the email address on your account. We will acknowledge requests promptly and aim to substantively respond within the timeframe required by applicable law (generally 45 days, extendable once as permitted by law).
Children's privacy
GigKeep is intended for independent workers who are 18 years of age or older. We do not knowingly collect personal information from anyone under 18. If you believe a minor has provided us with personal information, contact us and we will delete it.
Changes to this policy
We may update this policy from time to time. If we make material changes, we will update the effective date above and, where appropriate, provide additional notice (such as an in-app message).
